21/Regular/Full-Time The CCDF Intake Specialist is responsible for facilitating the enrollment and eligibility determination process for families seeking childcare assistance through the Yakama Nation Child Care Development Fund program.
They play a crucial role in helping families access affordable and quality childcare services by assessing their eligibility and guiding them through the application process.
This position must also navigate the online database system.
Examples of Work Performed:
Review and process applications submitted by families seeking childcare assistance through the CCDF program.
Ensure all required forms, applications, or paperwork related to the intake process are correctly filled out, properly signed, and filed appropriately.
Evaluate the eligibility of applicants based on income guidelines, family size, and other criteria set forth by the CCDF regulations.
Verify the accuracy and authenticity of the supporting documentation submitted by applicants, such as income statements, employment status, and household information.
Interact with applicants to gather additional information, clarify requirements, and ensure a smooth and efficient application process.
Collaborate with other team members to facilitate a smooth intake process and streamline the flow of information.
Certify eligibility by preparing childcare certificate.
Maintain accurate and up-to-date records of each applicant's status and progress through the enrollment process.
Ensuring data is entered into online database system.
During eligibility period maintain files and monitor to ensure timely follow-up when necessary.
Ensure compliance with all CCDF program guidelines and regulations during the intake and enrollment process.
Prepare reports and maintain data related to application status, eligibility determinations, and enrollment statistics.
Provide excellent customer service to applicants, addressing their inquiries and concerns professionally and empathetically.
Offer information and referrals to other social services and community resources as appropriate, to meet the needs of families beyond childcare assistance.
Maintain strict confidentiality and handle sensitive information with care and discretion, adhering to privacy regulations and policies.
Attend outreach events that may be outside of regular work hours.
Attend meetings, conferences and trainings as related to position.
Perform other duties as assigned.
Knowledge, Skills and Abilities:
Knowledge of Yakama Nation Personnel Policies and Procedures.
Knowledge of CCDF Code of Federal Regulations.
Knowledge of basic math skills.
Ability to manage multiple applications, maintain accurate records and meet deadlines.
Ability to work with staff, families, and providers in a professional manner.
Ability to maintain standards of confidentiality and work ethic.
Ability to read, write, and follow general oral and written instructions.
Ability to communicate effectively, convey information clearly and professionally.
Ability to operate computer, telephone, printer, copier.
Ability to utilize electronic database and software applications for entry and reporting.
Ability to handle multiple tasks and work efficiently in a fast-paced environment.
Minimum Requirements:
High School Diploma.
Previous experience in eligibility determination, case management or customer service Ability to pass Department of Early Learning (DEL) background check.
Must pass a pre-employment background check.
Must have a Food Handler's Card or ability to obtain within 3 months of employment.
Must have a First Aid/CPR Card or ability to obtain one within 3 months of employment.
Must obtain a medical/physical examination, including a TB test.
Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
Required to pass a pre-employment drug test.
Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.

TRAINEE:
The Yakama Nation reserves the right to practice Indian Preference by selecting an Indian applicant as a trainee at a reduced pay rate than announced.
A training plan is developed to assist employee to reach required qualification requirements and performance level.
After completing training plan, work performance will be evaluated.
Upon satisfying qualification requirements, employee will obtain entry level pay.
INDIAN PREFERENCE:
In efforts to practice Self-Determination, the Yakama Nation grants Indian Preference for employment, promotions, and transfers to its employees and qualified applicants as appropriate.
This may limit career opportunities for non-Indian applicants and candidates.
Preference for employment will be granted to qualified individuals meeting minimal qualification criteria in the following order pursuant to the YN Personnel Policy Manual Section 2.

VETERAN PREFERENCE:
